This policy covers this website, our newsletter, appointment bookings, one-on-one sessions and programs. If you are a website-services client, our Website Services Privacy Notice also applies.

Information We Collect

We collect personal information that you choose to give us, including:

  • your name and email address when you subscribe to our newsletter
  • your name, email address and message when you use our contact form
  • your contact details, health history, intake forms and session notes when you book or attend sessions or programs
  • your name, email address, billing details and account login when you buy a program or create a member account

We also collect some information automatically when you visit this website, such as pages viewed and general device and browser information, through cookies and analytics (see Cookies and Analytics below).

How We Use Your Information

We use your information to:

  • respond to your questions
  • schedule, prepare for and provide sessions and programs
  • process purchases and give you access to programs and recordings
  • send our newsletter, including educational content, updates, resources, and information about programs and offers
  • understand how our website is used so we can improve it
  • meet our legal and tax obligations

We only use your information for these purposes, or as required by law.

Client and Health Information

We handle all client information with the same care, whether you come for Myofascial Release, one-on-one yoga, wellness sessions or a program. We follow the standards of Ontario's Personal Health Information Protection Act, 2004 (PHIPA) for all of it.

  • Where it is kept: Intake forms, health history, session notes and booking records are kept in Jane App, a secure platform built to support PHIPA compliance.
  • How it is used: We use your health information only to provide and plan your sessions and programs, and with your consent.
  • Sharing: We do not share your health information with anyone without your consent, except where the law permits or requires it, for example to prevent serious harm.
  • Access and correction: You may ask to see your records or ask us to correct them by emailing info@somaticintegrationwellness.ca. We will respond within 30 days.
  • If something goes wrong: If your health information is lost, stolen, or accessed or shared without authorization, we will tell you as soon as reasonably possible. Where required, we will also report it to the Information and Privacy Commissioner of Ontario.
  • Complaints: Please contact us first. You may also complain to the Information and Privacy Commissioner of Ontario at ipc.on.ca.

Newsletter

Newsletter subscriptions are stored and managed through Kit. You can unsubscribe at any time using the link at the bottom of every email. We keep a record of when and how you subscribed and unsubscribed, so we can show your consent and make sure we stop emailing you.

Contact Form

Messages sent through our contact form arrive by email. Please keep your message general and do not include detailed health information. We will discuss your health history through our secure intake process in Jane App.

Purchases and Member Accounts

When you buy a program, payments are processed by Stripe or PayPal. We may also use other secure payment processors. We do not see or store your full card number. If you have a member account, we keep your login details and the programs you can access.

Cookies and Analytics

This website uses cookies to keep it working properly, remember preferences, and support embedded content. We use Google Analytics to understand how visitors use this site, such as which pages are viewed. You can opt out using the Google Analytics Opt-out Browser Add-on.

You can set your browser to refuse cookies, although some parts of the website may not work properly.

Embedded Content

Some pages include content from other websites, such as YouTube videos and our Offering Tree class schedule. That content behaves as if you visited those websites directly, and they may collect information about you, use cookies, or track your interaction with the content.

How We Share Your Information

We do not sell, trade or rent your personal information.

We share information only with service providers who help us run our practice and website, and only as needed for that purpose:

  • Kit (newsletter)
  • Jane App (appointments and client records)
  • Stripe, PayPal and any other payment processors we use (payments)
  • Google (website analytics)
  • OVHcloud (website hosting)

We may also disclose information if required by law.

Where Your Information Is Stored

Some of our service providers, including Kit and Google, store information outside Canada, mainly in the United States. Information stored there may be subject to the laws of that country, including access by its courts and government authorities.

How Long We Keep Information

  • Newsletter: until you unsubscribe, plus the record of your consent described above
  • Contact messages: as long as needed to respond and follow up
  • Purchase records: as long as tax law requires, generally six years
  • Client and health records: as long as reasonably needed for your care and as required by law, then securely deleted

Security

We take reasonable steps to protect your information from loss, theft and unauthorized access, and we use reputable service providers. No method of electronic transmission or storage is completely secure. If a privacy breach creates a real risk of significant harm, we will notify you and the appropriate privacy commissioner as required by law.

Your Rights

You may ask to see the personal information we hold about you, ask us to correct it, ask us to delete it where the law allows, or withdraw your consent at any time. To make a request, email info@somaticintegrationwellness.ca. We will respond within 30 days.

We may update this policy from time to time. Changes will be posted on this page with a new effective date.
